1. What is a public gallery?

A public gallery is a single link for multiple people. This gallery type can be used for e.g. photojournalism, school or corporate photoshoots. You can easily share the photo gallery through a link to all the people involved in the photoshoot. Each client can place a separate order, and Mafelo will prepare a list of orders for you, e.g. for each parent for a school photoshoot.

2. How to create a public gallery?


To create a public gallery, on the Mafelo site, click the "Create a gallery" button, then select "Public gallery" from the list.


Fill in the gallery details, including:

  • gallery name

  • change the currency, if required

  • set the pricing for your gallery

Enable online payments, if you're planning to use them, and select additional options, such as:

  • Clients can only download photos that they ordered and paid for,

  • Any person with gallery access can download any photo for free in full resolution,

  • Disable access to photo selection after a specified date (the client will not be able to order photos and products),

  • Disable the possibility to place orders of 0 net value,

  • The client must choose photo prints for every selected picture,

Finally, complete the welcome message, and click "Save" when you’re done filling in the details.

In the "Gallery Details" tab, you can provide your clients with the option to purchase additional prints for the gallery, photo products, as well as offer a range of shipping methods.

To add print formats available for your client, click the "Manage print formats" button in the "Print formats" panel. Then, in the upper right corner, click the "Add" button or click the "Copy from settings" button.

Define the available print formats in the gallery, add each format's print price, and then click "Save".

In the same way, add, one by one, the products available in the gallery, as well as the shipping methods.

The final step before making the gallery available to clients is to upload photos of your choice in the "Photos" tab.

3. How to make the gallery available to the clients for photo selection?

In the "Gallery details" tab, click the "Share gallery" button in the top corner.

You will see an option to secure the gallery with a password, which the client will have to enter to view the photos.

You also have the option, to set your "Friendly Link." This makes it easy to distinguish the gallery type and remember its link.

Now, click "Share". On the screen you will see the possibility to share the link with your clients in two forms .

1. As a random name

2. As a friendly link

Copy the selected option and share the link with your clients. If you’ve set a password, don’t forget to also share it with the client.

4. Client-side order process in public gallery/

When they enter the gallery link, all the information you set up for the gallery will be displayed to your clients, e.g. the price of photos and the welcome message.

To view the gallery, the client must click the "Go to photos" button.

The site will take them to a photo gallery of their choice. Now, they can click on the "Add to cart" icon to select the photos they want to order.

All selected images will appear in the shopping cart. Your client can go to the shopping cart and finalize the order by clicking the shopping cart icon in the top corner.

The client then proceeds to the order process, with the selected photos displayed in the first stage. In addition , the client has the option to add prints of the selected photos to his order. By clicking the “Order products” button, located adjusted to the “Next” button, your client can order the products suggested in the gallery, e.g. photo-albums, photo-images, etc.

The next step is to select a shipping method, if available, and complete their shipping details.

The client then proceeds to the order summary, where they will see the payment total and the number of photos selected, as well as the price for additional prints or products.

If your client's order details are correct, they can send it to you by clicking the "Send the order to the photographer" button.

The order confirmation will be sent to your and your client's email.

5. Photographer-side overview of the client order


On the Mafelo website, go to the "Galleries" tab and select the gallery referenced in the order. Next, go to the "Client orders" tab, where you will see a list of your client orders. You will seee.g., who placed the order, for what number of photos, when, and the amount to be paid. A separate order list is displayed for each client.

If your client has used the online payment option, their order will automatically change its status in Mafelo to paid. However, if you do not use this option, you can manually change the status by clicking on the "Actions" button and selecting "Mark as paid."

To export your Client email list, click the "Export" button. You can choose several options:
- e-mail addresses of clients from all orders or only from paid orders,
- list of prints from all orders or only from paid orders,
- client details from all orders or only from paid orders.

To view the photos selected by the client, click on the "Photo order" or the blue "Display Photos" button next to their order.

On this page you will see the photos that your client has selected.

To save yourself time, you can use the photo export option.

Exporting to Excel is a very useful feature. The exported file contains client order information along with their data. This can prove to be very useful when preparing a list of photos to transfer to your clients. 6. Finalizing the gallery

If you have already finished processing the photos, then you can transfer the finished files to your client. Go to the "Photo transfer" tab, where you have a choice of two folders into which you can upload finished photos:

  • full resolution

  • online publication, e.g. lower resolution with a logo

Upload photos to folders.

If the photos are ready, the last step is to click the "Notify clients" button in the top corner. When you do this, every client who has a paid order and photos to download will receive an email stating that their photos are ready.

Such an e-mail is only sent once by Mafelo.
